Worklane Help Center

Set up your workspace, manage clients, send proposals and invoices, track your pipeline, and automate follow-ups. This page is a quick, practical guide—no API required.

Introduction

Worklane is a lightweight client-work OS. You’ll create proposals and invoices, track deals in Kanban/Timeline, see a running Actions Timeline, and keep your brand consistent. Start with setup → invite team → import clients.

Set up workspace

1) Workspace profile
  • Add workspace name, logo, and brand color.
  • Set business hours (used for timing automations).
  • Choose currency and locale.
2) Payment settings
  • Connect Razorpay key (live/sandbox).
  • Set default invoice due days.
  • Enable payment matching alerts.

Invite your team

Go to Settings → Members and invite by email. Roles:

RoleCan doCannot do
OwnerAll admin + billing—

StaffAssigned clients & documentsOrg-wide settings

Import clients & data

  1. Download the CSV template from Clients → Import.
  2. Fill in rows (name, email, phone, tags).
  3. Upload and map columns. Review conflicts, then confirm.
You can export data anytime from eligible plans. See “Billing & plans”.

Proposals

  1. Create → Proposal, pick a client, and a template.
  2. Add line items, taxes/discounts, and terms.
  3. Toggle brand theme; preview the client-view.
  4. Send (email) or copy the share link.
  5. Watch Actions Timeline for viewed/accepted.
Tip: Convert an accepted proposal to an invoice in one click.

Invoices & payments

  1. From a proposal, click Create invoice, or start a new invoice.
  2. Set due days and payment notes; send to client.
  3. Client pays via Razorpay checkout; status updates automatically.
Payment statuses: Pending → Paid → Failed/Refunded (when applicable). You’ll see these in the invoice list and in the Actions Timeline.

  • Kanban: drag cards across stages (Lead → Discovery → Proposal → Won).
  • Timeline: see stage windows and expected close dates.
  • Filter by owner, tag, and date; quick search on top.

Follow-ups & timeline

Automations help nudge deals without manual chasing.

  • Follow-ups: +3d and +5d windows by default; pause when a client replies.
  • Hot lead: mark when a reply is detected or when client views ≥1× or clicks ≥2× in a window.
  • Business hours: defer after-hours to the next morning at your preferred time.
  • See every action in Actions Timeline (sends, views, payments, automation events).
